Using Video Call User Rooms

How to use User Rooms for calls with invited guests


Video Call User Rooms are private rooms for individual team members and allow them to meet with any guest invited to their room. Video Call consultations with patients and clients are designed to take place in the Clinic Waiting Area, however User Rooms are available as an additional workflow. To be given access to a Video Call User Room, you must be given permission by your clinic administrator. 

Most Video Call clinics do not provide User Room access, as their workflow does not require this. Some clinics, however, require the User Room workflow, so please contact us if you have any questions about the best workflow for your clinic/s. 

If you have access to a User Room, it will appear in the Left Hand Side column in the clinic. Click on your User Room to see the options for inviting others to a call. No other team members can access your User Room, so you will need to copy the link and send to any required Video Call participants, including patients, clients and other health service providers. If you require reception or other staff to send your User Room link to patients or clients, copy the link and send to the required staff.

Multiple callers can be accepted into a user room call, up to a maximum of 6 participants.

How to use User Rooms:

If you have been given permission, you will see your User Room in the LHS menu in the Clinic. Your User Room name will be the name associated with your account)

If you do not see a User Room with your name and you require one for your clinic workflow, contact your clinic administrator.

To see the ways you can invite any guests to your User Room, click on the User Room name.

You will see something similar to this example, with the name of your room and options to:

  • Enter the room 
  • Copy the link to send to guests 
  • Send invitation - via email
  • Share - for more sharing options

Enter The Room

You can either enter your room directly using the Enter button next to the room name (top image) or click on your User Room name and select Enter User Room from the options (bottom image).

This will open the Call Screen and you can either let people into the room or invite them directly from the Call Manager (more details below)

 

Copy the link to send to guests

This copies your User Room link and you can send to patients, clients and anyone else you require in a Video Call. Part of the link address is the User Name for your account (this is generated automatically when you add your name for your account). 

Only people with this link can access your room.

This example show the User name judecobb-1 at the end of the link to my personal User Room.

Please note: if you require reception staff to send the link to patients or clients, copy the link and send to the required staff.

Send invitation

Click this option to open the Send invitation modal. Enter the invited guest's email address and edit any of the other fields, if required, before sending the invitation.

The default is that the invitation will not be sent for a particular time - No is selected in this example.

To send the invitation for a particular time, click Yes and add the required details before sending.
When you Enter your room, the indicator to right of the Enter button shows the number of people currently in a call. If you enter and are the only participant, the number will show as 1.
If there are any waiting callers for the room, the indicator will turn orange (but the number will not update until they are accepted into the call).

To let a waiting caller into the call, enter the room and open the Call Manager. You will see any callers waiting  and can accept them into the room. You will hear an audio alert until you let them in - but can mute this if required.

You can also join a participant in another call, if required, or deny access.

The Call Screen has very similar functionality to the the Call Screen for Waiting Area calls.
